Key2Key Campaign Function

Welcome to this Key2Key instructional guide, in this module we will cover how to use the newly updated campaigns process. We will start at the beginning, by creating a campaign, and then take you through the process of managing and exporting that campaign in the system.

Creating a Campaign 

· Create a list of customers using the filters as required. In this example we have filtered to all Polo Hatchback customers who have made at least 18 payments and have at least 6 remaining, and who are up to £1000 below Parity. This produced 1591 results.

· Once a list of customers is visible hover over Campaign Export as normal.  If the whole list is to be exported select All, and then New.  

· Alternatively the user can select each customer record required by clicking in their customer record box, which will highlight the record to a lighter grey colour.  If this option is preferred then choose Selected on the drop-down. 


Step One

· Once the necessary Campaign Export option is selected the first of two boxes will appear. Begin by entering the name of the campaign, and the dates you want it to run to and from.

· You will now note that two additional options are available to you.

Private Campaign

· This option will make the campaign only visible to the current user, as it may require further work and the user is not ready to share.  At Head Office level this may be preferable when creating campaigns to help with marketing and planning strategies before sharing to Dealers.

Customer Selection

· Ticking this option will change all the customers’ statuses to Selected for Contact (indicated with a yellow triangle).  If left blank they will remain at their current status.

· Once you have named, dated, and selected the relevant options for your campaign, click the Go button to enter the second stage of the Campaign creation. 


Step Two

· Here the user is presented with selectable options for who they would like the Campaign to be visible to. Ticking the box next to the dealership name will apply this campaign to the relevant centre.

· Once again, new functionalities are open for use here.

 

Assign only if customers exist

· If this is ticked dealers who have no customers in the campaign will have no visibility of the campaign, or its title.  If unticked they will see the campaign title but will only see their own customers within it, which may result in seeing a title with no customers contained.

Search Box

· When longer lists are shown, the user can enter a keyword to help refine a long list of groups and dealers to those the user desires to include. In this example the word “Lookers” has been typed the list reduces to show only those dealers within Lookers Group or one of its custom-made sub-groups.

· The filter is dynamic, which means it will filter as the letters are being typed, so as an example tapping in “wrex” has refined the list to show only dealers with “wrex” in the title

Actioning your campaign

· Once the relevant options are selected for your campaign, simply click the Go button at the bottom of the screen to commission the creation.

· This will bring up a message box informing you that your campaign creation is currently underway.

· A “View Campaigns” shortcut allows the user to go straight to the Campaigns menu and review progress of pending campaigns.

· With the new functionality, campaign creation occurs in the background allowing the user to carry on other work in Key2Key, or to log out entirely, while the campaign is being created. Once the campaign is created the user will receive an email informing them that their campaign is ready.  In this way very large campaigns can be created with little impact on users, though it should be noted that very large campaigns could take a matter of hours.  If a number of large campaigns are requested at a similar time, a queuing system is used to schedule the campaigns in order, making the email notification a very useful facility.


Viewing Campaigns

· To view those customers currently within a campaign, hover over the luggage label icon at the top left of the page and, from the dropdown list, select View Campaigns.

· This presents all the customers currently in a campaign, marking them with a luggage-label icon. Customers who are in more than one campaign will be marked with a plus-symbol on their campaign tag.

· The campaigns that the user has visibility of will appear on the right hand side of the customer list page and can be selected by clicking on them.

· When a campaign is selected, the calculator will automatically open to present any financial adjustments or enhancements you may have made.  This is especially useful when building bespoke campaigns for a vehicle you have in stock, or when adding additional finance to a group of customers’ proposals.  Please note that the figures in the calculator will not be applied to your list until you have clicked the Go button on this section.

Manage Campaigns

· To edit campaign titles and dates, or to export and delete campaigns, hover over the luggage label icon from the top left of the page and select Manage Campaigns from the dropdown list.

· Once clicked, the list of created campaigns will appear, listed by title.

· Campaigns can be edited by clicking the campaign’s Go button, in the Edit column.

Exporting a Campaign

· A campaign/multiple campaigns may be selected by ticking the relevant box in the Export column, and clicking the Export button that appears. This is also the process used to delete a campaign.

· With larger campaign files this may take a short while, so the export process will be done in the background and an email will be issued once the export is ready, as shown in the pop-up box that appears after requesting export.

· Once a campaign has been added to the export queue, a confirmation message will be presented.

· Once the campaign is exported and is ready, the user will be notified by email. Exported campaigns can be viewed by hovering over the Campaigns icon and selected Exported Campaigns.

· The Exported Campaign page enables the user to check the status of their campaign export and, if complete, to download the file by clicking the Go button.

Campaign Visibility

Within the Key2Key user hierarchy structure, users with different levels of access can see different kinds of campaigns:

· Manufacturer/Brand Level Login

Only one login, per brand, is capable of creating truly national campaigns.  These created campaigns can then be monitored and managed by this master login.

· MA/Group Level Login

There is no cross-visibility from campaigns created by one Group/MA user to another.  Group users can see campaigns set up by Brand level users, and can set up campaigns to assign to the dealerships under their care.

   · Dealer Level Login

            All users attached to a particular dealership will see each other’s campaigns, providing they are not marked as private by the campaign creator.  Other dealerships’ campaigns will not be visible, even within the same group.  Dealers               will see campaigns assigned to them at Manufacturer/MA/Group level but only if their customers are contained within that campaign.
